Assistant Manager, Alumni Affairs and Development in the Institutional Advancement Unit (in the grade of Executive Officer) [RF: 2025/26-FT-264-JDB]
The appointee will assist the Senior Manager, Alumni Affairs and Development to ensure a smooth operation of Alumni Affairs and Development Team.
Main Duties:
· Plan and organise alumni networking and volunteering events, using strong organisational and project management skills, to manage logistics and budgets, prepare promotional materials, and perform MC duties;
· Provide administrative and secretarial support to the Alumni Council and its committees;
· Oversee the alumni membership registration process, run membership drives, and negotiate with external companies to provide benefits for alumni;
· Manage and develop content for alumni communication channels like the eNews and website, and coordinate website maintenance;
· Support fundraising strategies, organise fundraising events, solicit new donors for scholarships and bursaries, and help implement donor recognition programmes;
· Assist subject-specific alumni groups in establishing their own associations;
· Maintain a proactive and innovative mindset, with ability to propose new ideas and continuously improve alumni activities and engagement methods to sustain long-term participation and advocacy;
· Provide documentation, logistics, and stakeholder support, including effective coordination and preparation of administrative documentation to support end-to-end execution within deadlines;
· Support the implementation of the new alumni database system, follow through all project details, and ensure completion;
· Supervise support staff and ensure the smooth and efficient operation of the office;
· Perform any other ad hoc duties as assigned.
Requirements:
· A recognised Bachelor’s degree with at least 4 years of relevant experience, preferably in alumni affairs, communications and marketing;
· Experience in serving committee, providing secretariat and administrative support is preferred;
· Excellent command of written and spoken English and Chinese (including Putonghua) are required;
· Outgoing, independent, self-motivated, meticulous and committed;
· Possess good understanding of people dynamics with outstanding interpersonal skills;
· Able to work under pressure and outside office hours;
· Experience and skills in the use of AI tools and applications will be an advantage.
Terms of Appointment: Salary placement will be commensurate with qualifications and experience. The contract will normally be for 2 years with the possibility of renewal subject to review. A contract-end gratuity (taxable) will be payable upon satisfactory completion of the contract. Medical and dental benefits, 18 days’ annual leave and the use of library facilities will be provided where applicable. The School also provides staff development opportunities.
